An exclusive opportunity has arisen within a well-established Single Family Office in Houston for a Corporate Paralegal to join their in-house Counsel team.
Position Description
This position will provide day-to-day administrative and paralegal support to attorneys within the Legal Department. This will include assisting with the Corporate Secretary function for the business including preparing corporate governance documentation, including resolutions, written consents, minutes, meeting notices, board books, and master calendars. Preparing, revising and filing correspondence, reports, budgets, legal invoices and agreements. Position must be able to work collaboratively and cooperatively with personnel within and outside the Legal Department and be willing to be fully cross-trained with other paralegals for functions outside the Legal Department as required.
Responsibilities and Essential Duties
- Support the filing and maintaining of corporate organizational documents and minutes including minute books, legal files and other corporate information and officer appointments.
- Monitor written consents and documents circulated for signature.
- Fulfill requests for corporate information, including copies of minutes, consents and other corporate documents.
- Maintain the database system that tracks executed contracts.
- Produce information by transcribing, proofreading, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Maintain a flexible and adaptive schedule (e.g., start early or stay late if required to complete work).
- Ensure that legal files and records are maintained in accordance with department requirements and company policies and procedures.
- The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned to the employee from time to time. The scope of the job may change as necessitated by business demands.
Requirements
- 5 or more years of experience as a legal secretary or legal assistant/paralegal in a corporate legal department.
- Education and Certifications: High School Diploma or equivalent required; Associates degree or bachelor’s degree preferred.
- Paralegal certification required. An equivalent combination of education and experience may be accepted.
- Excellent PC skills including Adobe, Word, Excel, Power Point and Outlook. Experience with ContractSafe, LaserFiche, Practical Law, Westlaw and People Map a plus.
- Requires strong verbal and written communication skills as well as proven organizational, administrative, and interpersonal skills.
- Demonstrated ability to utilize sorting/filing techniques, records retention policies and schedules to maintain accurate records
- Must be dependable and able to meet deadlines.
- Ensure written materials prepared and reviewed are complete, concise, and error-free.
- Must be able to work with limited supervision and use individual initiative.
- Strong interpersonal skills with an ability to establish and maintain cooperative and harmonious working relationships with a variety of other support and departments.
- Ability to handle issues with a high degree of confidentiality.
Location: Houston, TX. This is a hybrid working role and you will be required to be in the office 3 days a week (Mon, Tues, Thurs).
Salary: Up to $80,000 per year (there is some flexibility depending on your experience)
