About the Role

The Operations Manager will oversee the day-to-day management and operational excellence of the family’s private assets, including a yacht, private jet, residential properties, and security infrastructure.

This is a highly responsible, hands-on role that demands exceptional organizational skills, commercial judgment, and discretion. The successful candidate will ensure that all private assets are maintained and operated to the highest standards of safety, efficiency, and presentation — while serving as the single point of coordination between the Family, crew, management companies, and external service providers.

You will work closely with the Chief Operating Officer and Head of the Family Office and maintain regular direct contact with the Principal, ensuring that every operational detail — from flight readiness to property maintenance and crew management — is handled seamlessly and professionally.

Key Responsibilities

Private Jet Management

  • Act as the main liaison with the jet management company to oversee day-to-day operations, crew coordination, and maintenance.
  • Ensure aircraft readiness at all times and adherence to all safety and regulatory standards.
  • Manage scheduling and positioning of the aircraft per owner’s instructions.
  • Monitor operating budgets, maintenance plans, and cost tracking on a monthly and annual basis.
  • Explore opportunities for chartering during idle periods to offset operational costs, if and when approved by the Family Office.

Yacht Operations

  • Coordinate with the yacht management company, captain, and crew to ensure the smooth running of the vessel.
  • Support itinerary planning, maintenance scheduling, and logistics for refits, yard stays, and provisioning.
  • Track operational budgets, repairs, and maintenance costs.
  • Ensure the yacht meets all safety and compliance requirements, and is ready for owner use at short notice.

Property & Facilities Management

  • Oversee the family’s property portfolio, ensuring all residences and facilities are maintained to impeccable standards.
  • Liaise with architects, contractors, and service providers for maintenance, renovation, and improvement works.
  • Manage domestic staff and external suppliers to ensure smooth daily operations.
  • Maintain detailed budgets and service records for each property.

Security & Risk Oversight

  • Coordinate with security team and providers to ensure robust protection for the family, residences, and key assets.
  • Supervise implementation of security systems, access control, and emergency response procedures.
  • Maintain discretion and confidentiality in all security-related matters.

Administration & Reporting

  • Manage contracts, budgets, and invoices related to all private assets.
  • Maintain transparent cost tracking and regular reporting to the Chief Operating Officer, Head of Family Office and Principal.
  • Ensure compliance with relevant aviation, maritime, and property regulations.
  • Proactively identify opportunities for operational efficiency and cost optimization.

Who We’re Looking For

  • Experienced Operator: Minimum 10 years of experience managing private assets for a family office, UHNW individual, or luxury operations company (aviation, yachting, or estate management).
  • Commercially Savvy: Strong understanding of cost management, supplier negotiation, and contract oversight.
  • Detail-Oriented & Reliable: Impeccable organizational skills, follow-through, and ability to anticipate needs.
  • Calm Under Pressure: Able to handle unexpected requests and logistical challenges with discretion and professionalism.
  • Multilingual & Culturally Aware: Fluency in Greek and English required; other European languages a plus.
  • Technically Capable: Proficient with Excel, budgeting systems, and project management tools.
  • Education: Bachelor’s degree required; Master’s in Project Management, Hospitality, or Engineering from a top-tier European or US university preferred.
