Are you an experienced Office Manager with a flair for organisation, passion for people and interest in working for a high-net-worth family?
If so, we may just have the perfect role for you working with a Family Office representing the investments of not one but three high-net-worth individuals. As serial entrepreneurs, the office also incubates a number of their investment companies and corporate entities.
This is an incredibly exciting role for the right candidate who should come from an Operations or EA/PA background. The ideal candidate will also have a strong work ethic, a very high attention to detail, be proactive and well organised as well as possess high Emotional Intelligence. This person will also have the ability to communicate well, perform under pressure, be confident, discreet and flexible as the role can vary day to day. This person will need to have a self starter attitude/ take real ownership of the position.
Main responsibilities
- Managing the office, including reception and being responsible for greeting guests
- Organising meetings, managing calendars and emails, scheduling reminders and maintaining various registers
- Taking ownership of all filing and record-keeping which should be efficient, intuitive, logical, secure and user friendly
- Booking transport and accommodation
- Organising events and travel, booking accommodation where needed
- Ordering stationery and supplies as well as managing all office services, security and insurances
- Processing, distributing and filing postal correspondence
- Conducting research, preparing letters, presentations and reports which includes the preparation of meeting packs and agendas and minute taking
- Managing office budgets, managing bank accounts, reconciling transactions including fees and charges and processing invoices
- Liaising with other key staff (particularly the Investment and Property team) and supporting them by implementing and maintaining procedures/office administrative systems
- Liaising with external partners
- Ensuring that health and safety policies are up to date
- Using a range of software packages
- Bank and credit card reconciliation of all expenses monthly
- Assist with monthly family and office payments
- Prepare and distribute bank instructions, authorise online payments and organise call-backs
- Keeping an art inventory updated and insured accordingly
- Negotiating contracts such as insurance, travel agencies, leasing and contractors and making all insurance claims
- Being responsible for all family passports, visas and residency status for all the family
- Miscellaneous ad hoc family related projects as they come up.
