A New York based family office is looking for a detail-oriented and knowledgeable Office Manager. The ideal candidate will have the ability to effectively manage several tasks simultaneously, be flexible, available, and hands-on when required. This role also requires a person who will exercise discretion and maintain confidentiality in carrying out their responsibilities as well as use tact and diplomacy when handling sensitive situations.

Day to day responsibilities of the main office:

  • Answer phones, transfer calls, take detailed messages for those not in office
  • Announce guest/client arrival to office, greet in lobby or at front door
  • Submit guest pass requests
  • Manage all WiFi/tech issues in office, sourcing tech assistance when needed
  • Coordinate FedEx, UPS, DHL shipments both inbound/outbound. Follow up on any delays, coordinate deliveries to office
  • Maintain office supplies and order when needed
  • Maintain office snacks and order when needed
  • Open mail and forward invoices
  • Renew print & digital media subscriptions as needed
  • Submit office repair/handy man requests
  • Coordinate weekly office cleaning services
  • Oversee office repairs and maintenance
  • Maintain schedule for an office individual including all zoom meetings, calls, flights, hotels, car pick-ups/drop-offs, package deliveries
  • Compile receipts and submit expense reports on a monthly basis
  • Answer calls regarding any security issues pertaining to office
  • Manage security inspections and service checks

Key Competencies Required:

  • Previous experience in an office management/administrative assistant role
  • Bachelors’ Degree preferred
  • Advanced Word and Excel skills
  • Able to work under pressure and easily multi-task on different projects
  • Excellent communication skills
  • Meticulously organized

Compensation: Fixed annual salary of up to $80,000 plus excellent benefits including health, vision and dental.

Please note: this is a full time, in office role. Hybrid/remote working is not an option for this position.
