A Single Family Office in Newport Beach is seeking an Executive Assistant to join its team to manage operations for its principal.

Core Responsibilities:

  • Manage calendar and coordinate all appointments for principal and spouse (including professional, personal, and medical appointments).
  • Extensive travel arrangements (private and commercial) for principal and extended family – including air, yacht charter, dining, and transportation.
  • Oversee crew and manage charter and maintenance calendar for aircraft.
  • Manage residential staff and vendors; project manage renovations and repairs across multiple residences; manage cars and maintenance schedules.
  • Maintain medical files, coordinate in-home care and attend medical appointments as necessary.
  • Assist with office operations, including sorting mail, ordering office supplies, and organizing files.
  • Oversee 24-unit residential portfolio with property management company.
  • Facilitate principal’s mentorship program with MBA students at partnering universities.

Requirements:

  • Bachelor’s degree required
  • 5+ years of executive assistant (or similar) experience
  • Maturity and discretion with regard to confidential information
  • Exceptional intuition with the ability to proactively anticipate needs
  • Independent decision-making abilities with strong judgment
  • Ability to multitask, prioritize, and maintain grace in a fast-paced environment while having meticulous attention to detail and organization
  • Excellent written, verbal, and interpersonal communication skills
  • Advanced proficiency with the MS Office Suite
  • Available after hours as needed. A high level of responsiveness is required at all times.
  • Employ a jack of all trades mentality

Compensation:

  • $100,000 – $150,000 annual salary depending on experience
  • 60% employer contribution to medical, dental and vision for employee and family
  • 20 days’ PTO in addition to 8 national holidays
