A Family Office in Westminster is looking for a Private PA to support the Principal in his non-commercial activities and to assist in the Family Office.

The Principal travels frequently in his commercial activities and maintains a busy social calendar.  The focus of the role is to ensure the smooth and professional running of the Principal’s private affairs and work as part of the Family Office team.  As well as maintaining a busy commercial life the Principal has many philanthropic interests and is involved in various charities and foundations, including his own charities and a monthly published magazine.

We are looking for a professional person, ideally someone with previous experience of supporting a Family Office, or with a background in the City, a law firm, or other professional environment.

Duties will include the following:

  • Management of private house arrangements and domestic staff.
  • Arranging insurance, MOTs, and road tax on vehicles.
  • Travel and accommodation booking on both commercial airlines and private charter.
  • Organising and planning global travel schedules.
  • Liaising with staff on the Principal’s yacht.
  • Liaison with the Principal’s commercial PA over travel and calendar.
  • Booking hotels, dinners, events, theatre etc.
  • Research and planning on ad hoc projects.
  • Providing occasional support to close family members.
  • Management of cleaning staff.
  • Other ad-hoc tasks within the Family Office.

Working closely with the Head of the Family Office, the candidate will be required to perform ad hoc administrative tasks, e.g. invoicing, expense reclaims and maintaining spreadsheets.  Some meeting and greeting of guests and office facilitation will be necessary too.  The candidate must have great attention to detail, be able to prioritise, find and offer solutions to tasks and remain calm under all situations.   The candidate will need to have the ability to read through paperwork/contracts or correspondence in order to alert the Principal or Head of Family Office to issues raised and ensure no discrepancies.

The candidate must have at least 10 years of working at a senior executive level (preferably at Chairman or CEO level) and be highly organized, proactive, flexible in their approach to work, and team orientated.  Strong communication and IT skills are essential, as are impeccable telephone, email and face to face communication skills.  The person needs to be numerate, proficient to work accurately in Excel, PowerPoint and Word and be used to working with UHNWI’s.  A creative and resourceful personality and out of the box thinking is highly valued.  Given the nature of the role, the ability to maintain the upmost discretion at all times is vital.

Candidates must feel comfortable working within a small team environment, often independently with a mixture of from home and in the office (near Westminster).

Remuneration will likely be up to £60,000.
