HOURS: FIVE DAYS PER WEEK, 10am-7pm / Possible Hybrid working (1-day WFH)
The position covers a broad spectrum of responsibility including but not limited to administrative support for the business owners, project management, light HR processes and client/agency liaison. Flexibility and maturity to manage a myriad of responsibility across these functional areas will be key to the success of the role.
Main Responsibilities
Studio Manager:
- Host weekly staff meeting and prepare notes for the principles.
- Principal contact for all press, media and interview enquiries.
- Review ad hoc press and info email accounts, flagging anything of note.
- Co-ordinate contractors as required for projects.
- Ensure all other incoming office requests are directed to appropriate person including monitoring some ex-colleague email accounts.
- Managing the office facilities ensuring fully functional and immaculate
- Keeping maintenance standards to a high level and overseeing any works (heating, electrical, plumbing, decorative etc.) *This is to support a freelance facilities Manager who works part-time.
- Health and safety management (annual workstation assessments, fire alarm testing, fire safety training, first aid training etc.)
Executive Assistant:
- Manage and respond to all daily correspondence, invitations and requests.
- Prepare written correspondence as required.
- Manage diaries, meetings and travel calendar.
- Travel organisation (visas, special services, bookings) in close dialogue with external producers.
- Facilitate all personal matters in relation to frequent travels by the principles in London (hotels, cars, restaurants etc.)
- Light production and logistics for the principle’s photographic activity.
- Safeguard the principles relationship with various VIP friends, collectors and partners.
- Ensure the Principles personal related talent and third-party contracts are signed and filed, as well as all shoot credits necessary for fast-track publishing.
- Sharing invitations with the principles, ensuring timely RSVP
- Drafting written correspondence as required
- Liaising with finance regarding payments on company cards, providing receipts
HR & IT:
- Manage new employee / freelancer onboarding processes (NDAs, identification, referencing, computer requirements, emails, induction etc.), this is working alongside Finance Director.
- Report any people related issues to the principles for discussion with Employment Lawyer if required.
- Ensure Company Handbook is kept up to date and any updates issued to staff.
- Manage the studio’s holidays requests (via an app and for a team of 10 staff)
