Legal and Office Assistant: Single Family Office, London

A HNW Family Office in London is looking for an In house Legal Assistant to join the team. A mixed role that will be heavily involved in the running of the office and HR functions.

Legal assistance (30%)

  • Provide legal assistance as necessary to in-house legal counsel

HR & Office Management (20%)

  • Maintenance and development of HR database
  • Manage/interface HR hire process
  • Offer letter and employment contract drafting
  • Induction process for new employees/leaver process
  • Liaising with payroll as necessary
  • Reviewing and updating employment policies
  • Point of contact for Group Pension and Group Auto-enrolment schemes and day to day administration of such schemes
  • Point of contact for and administration of medical insurance, group life assurance and income protection schemes (to include annual/regular review of schemes)
  • Administration of childcare voucher scheme
  • Co-ordination/provision of references
  • Point of contact for group business travel, employer’s liability and commercial combined insurances
  • First point of contact with respect of general legal issues pertaining to our lease

GDPR & Regulatory Compliance (35%)

  • Incorporation of introduction to HCP GDPR policies as part of induction for new employees
  • Input into completion of outstanding GDPR policies, reviewing supplier contracts for GDPR compliance, ensuring necessary data sharing agreements are in place and making sure personal data across HCP is held according to HCP policies (eg including review with individuals of data they may hold)
  • Part of GDPR team reviewing new contracts, potential breaches etc for compliance with data protection legislation
  • Support compliance officer and in-house legal counsel with ongoing compliance monitoring programme for FCA authorised and regulated entity
  • Act as interface to external compliance consultants
  • Responsible (with input from external compliance consultants) for maintaining relevant policies

KYC and other data (15%)

  • Input into creation of new KYC system with Guernsey office
  • Managing workflows for keeping KYC data current
  • Providing/arranging ad hoc certifications as necessary
  • Updating and maintaining list of directorships/board roles for partners and senior staff


  • Some / full legal experience (as paralegal or qualified solicitor)
  • Familiarity with HR function
  • No prior markets compliance experience necessary
